How to access Appointment in WESS?

Upon login into WESS, at the left menu, Select Appointment Book.

Select Sale & Appointment -> Appointment to accessing the Appointment.

 Booking by Employee

Click on Employee from the right top corner to view the booking by employee name on the timetable.

Click Facility from the right top corner to view the booking by facility on the timetable.

 Booking by Occupancy

Select Occupancy Layout to view the appointment by Occupancy.

This provide a flat view where the appointment are arranged under the time slots.

 How to add an appointment?

Select APPOINTMENT BOOK at the left side of the page.

 Click on the time slot which need to make an appointment and fill in information in the boxes provided.

1)Choose Employee or leave in Waiting List.

2) Select Service.

3)Fill in Customer name or add new customer.

4)Fill in if any remark.

5)Select status. 

6)Click Add to add the appointment.

Click Details to fill in more detail information.

Select LEAVE OPEN when the information is filled.

How to edit/reschedule an appointment?

Select the record that needs to edit from the timetable in Appointment Book.

Click Save when done editing. 

 How to void an appointment?

Select the record that needs to void. Click Details to view the record information.

Click Void to make the appointment void.

 How to block off appointment to avoid booking?

Click the employee name. Select Block Time.

Fill in the start time, end time and reason. Click on recurrence to set how frequent this shall occur.

Select the To time to determine that when to end the recurrence.

How to search for an appointment?

Select the SALE TICKET LIST at the left menu.

Fill in the Code / Invoice No. / Customer' Code, Name, IC. No, Mobile, Membership No., Receipt No. to search the record.

Select Date to reduce the range of the date of search.

After the list appears, you can enter some related information to search the record.

How to change the status of an appointment?

Select the record that needs to change. Click on the Status drop-down list to view the status choice.

Current status will show in the Status box. After choosing the status, click Save.

Booking a new customer without any customer information?

The appointment can be saved although there is no customer information. You can add an appointment and fill in the Customer Information later.

Click on the time slot.

Fill The service and time first, the customer information can be filled in later. After fill in, click Add.

Booking a new customer with basic information.

Add a new appointment with new customer.

First, select the time slot for adding the appointment.

Click the "+" button to add the new customer.

Fill in the customer information to add the new customer and fill in all the information to add the appointment.

Schedule Appointment by using Programme.

Navigate to Appointment Setting for setting of Schedule Appointment by using Programme.

Select Appointment Setting.

At Schedule By Service, select No.

At adding a new Appointment, Select a Programme.

The Programme can be set up at Programme Setting.

The Programme will tell how much time need for this appointment.

 Select Leave Open when done.

 The Appointment will show the Programme, Slimming booked for 120 Mins.

Schedule Appointment by using Service

Navigate to Appointment Setting for setting of Schedule Appointment by using Service.

Select Appointment Setting.

At Schedule By Service, select Yes.

At adding a new Appointment, Select the Services.

  1. Service can be add by searching.
  2. Service can be add by selecting form the Favourite List.

The selected Services will appear in the item list. The Mins will show the duration need for the Services.

Select Employee to Add Employee to the Service, to change the Service Time etc.

At the Employee pop up window, you can make changes to the schedule.

  1. Add Employee to the Service.
  2. Change the Service Time.
  3. By default the Service and Sale will be checked.
    • Service : Check this if the Employee will perform the service, the duration will log into the Appointment.
    • Sale : Check this if the sale of this Service is by this Employee.

You can also manage the all services by selecting Employee button.

At the Employee pop up, you can manage all the services together.

  1. Add Employee to the Services.
  2. S : Show in Appt - This booking will show in Appointment Book
    R : Requested - This will mark the booking with (R), stating this employee is requested by the customer.
  3. Change the Service Time of each Service.
  4. By default the Service and Sale will be checked.
    • Service: Check this if the Employee will perform the service, the duration will log into the Appointment.
    • Sale: Check this if the sale of this Service is by this Employee.
  5. When done with the setting, select SET.

How to handle waiting list?

At APPOINTMENT BOOK, under waiting list, add a new appointment.

Select the time slot for make appointment.

Select the service and click Add.

The appointment is made and show in the Waiting list with yellow colour.

How to reorder the employee on the Appointment Book?

Select Staff in top menu bar. Select Employee to view the employee list.

The order of the employee can be updated by using the up/down arrow or by update the number.

Is there Appointment Reminder/Notification?

Customer will be notified by the reminder message for the upcoming appointment.

Select the Setting on the top menu.

Select Marketing Setting.

Under Appointment Reminder Message, you are able to set how the Reminder shall reach the customer for the upcoming appointment.
